Frequently asked Questions for course providers

What are the fees at Bildungsurlauber.de?

  1. One commission per request sent. This is around €5 per request. You can find the exact prices here.
  2. There is an annual provider fee totaling €100 to use the portal and publish all your courses. This will only be charged if the commissions for inquiries in the entire calendar year exceed €500.

Is there a trial period?

You want to test us? Then take advantage of our test phase: In the first calendar year, you will not be charged a provider fee. However, the commissions for inquiries apply from the first inquiry.

Can I cancel the account at any time?

Yes! The account can be canceled at any time – during the test phase as well as afterwards. If you delete the account or take the courses offline, you will not receive any further requests. By taking the seminars offline, you can also control your marketing budget exactly – in example: if you received enough requests for a seminar, you can simply pause the advertisement for it with one click.

How do I receive the inquiries and how does the invoicing work?

We will send you the inquiries by email in a structured form (first name, last name, email, telephone, course, federal state, etc.). An inquiry is when a user fills out one of the 3 inquiry forms on your course subpage. You will receive the invoice for the inquiries in the following month (for example: for the inquiries in January you will receive the invoice in February).

Is there an overview for the requests?

Yes, you can see the request overview in the provider login under the “Request overview” tab.

What happens if the same person makes another request?

Of course you won’t pay for it. If people make multiple requests in the same month (e.g. 2 x John Doe), then you will receive the emails with the requests and the requests will also appear in the request overview, but you don’t have to pay for them! Before the invoices are sent out, the duplicate requests are deleted.

Partner requests without contact details – what does that mean?

Users can add other persons for whom they also want to make the booking request. These are then also considered as a lead. You will see these persons in the mail of the booking request under the item “additional persons”.

For this partner request, the main requester can optionally enter the contact details of the other person. So it can be that in your request list people without further contact details appear.

Can I also pause payments?

If you want to pause payments, then simply set your courses to “Do not publish course”, then no requests can be made and you don’t have to pay any commission.

How can I get more requests?

We have the opportunity to enable providers to do premium marketing and thus give the courses much more reach and visibility. Provider courses appear at the top of the course overview. This option can be booked easily and flexibly via the course editor. Additional, we can better introduce the providers via social media and our newsletter. Up to blog posts in our online magazine.

How can I keep my relative costs down?

Of course, not every request will convert into a participation. That is why we have kept the prices per request so low. We have vendors where 30% – 50% of requests convert to participation. Your success measures:

  1. Fast processing of inquiries (mail and telephone)
  2. Only state the federal states for which you have or want to apply for recognition in order to avoid low-quality inquiries.
  3. Detailed course descriptions that address any questions that may arise.

Tips for a good course description:

  • Is the course content well explained?
  • What can the participants expect in concrete terms (number of hours, learning content, program points, …)?
  • What is the learning objective of the seminar? –> Especially for seminars around mental and physical health, it is recommended to briefly describe what the participants will learn for their  (professional) lifes
  • What is the target group?
  • What can be said about the venue? Is it located by the sea, in the middle of greenery, in the old town or are the rooms flooded with light?
  • Is the overnight stay included? What does it look like? Single room or double room? What are the costs?
  • Is the accommodation exclusive? Can you give assistance in finding accommodation?
  • How is the journey organized?
  • Have you introduced yourselves as a provider? What do you stand for? And what makes you stand out?
  • For language course providers still important:
    • How is my language level determined? ( → Online test in advance?)
    • Can interested parties tell which language level the educational vacation is aimed at?
  • Tip: If you don’t want to answer some questions in the course text, you can also put a separate FAQ under the description text.

What information should my reply e-mail contain?

When an inquiry lands in the mailbox of Bildungsurlauber.de, every provider responds differently – nevertheless, our experience shows that there are important components that a good response e-mail should contain in order to inspire participants right from the start. Here are the tips.

Are there further positive side effects?

  1. Of course, there are users who see your courses on Bildungsurlauber.de, but don’t make any inquiries, they look for your website on the Internet. We cannot and do not want to charge these users. These come as an added goody.
  2. Participants may book a course with you again next year or recommend the course to a friend. This reduces marketing costs.

How long does it take to register and publish a course?

Registration takes two minutes. You can then immediately publish your first course. If you already have your course description text ready, publishing your first course will only take another five minutes.

What should I write in the course descriptions?

  1. Start with a summary teaser about your course. Address the location or environment if that makes your class special. Learning can be fun!
  2. Then describe in detail what course content you can expect in the course. You are also welcome to go into the daily schedule.
  3. Then try to answer any questions that may arise: Is there accommodation? Are there optional prizes? What is the size of the course and which people meet in your course? Are there requirements or previous knowledge that the participants have to meet or can everyone do the course? What is the arrival like?

What do I indicate for the recognitions for the federal states?

If you have recognitions for certain federal states, then select them under “Recognized federal states”. “Federal states recognized on request” means that you have the course recognized by certain federal states for potential participants. Please also note that your course also meets the legal requirements of the federal states.

Can I set courses to Draft?

Yes. In course edit or create mode, click “Kurs nicht veröffentlichen” (unpublish course). Then the course remains in draft status.

Marketing is an investment

The educational leave industry is very diverse. There are providers who have been offering their business courses for a long time and there are providers who are taking their first steps towards self-employment. Some see marketing as an investment in more participants and more sales. The others have budgeted for no marketing costs at all.

How do I calculate my allowable marketing spend?

Let’s say your course costs €500, then subtract your direct costs, such as marketing material and renting the premises, divided by the maximum number of participants. If sales tax is still due, then deduct that as well. If the course is run by someone else, then deduct these costs as well.

If you conduct the course yourself, the costs should not be higher than 50% of the course price. In the example 250€.

Up to 30% for marketing costs

The successful providers set a marketing budget of up to 30% of the course price. If you spend up to €150 on marketing costs, that sounds like a lot at first, but the advantages are obvious:

  1. Each participant reduces the fixed costs (the relative rent is lower and thus the profit margin is larger)
  2. Participants may book a course with you again next year and years to come or recommend the course to a friend. For the future, there are no marketing costs for all the resulting participants.
